MILACON (Military Innovation & Leadership Alliance) is a program of the Military Child World Expo Foundation (MCWEF), a 501(c)(3) nonprofit organization dedicated to supporting military-connected children and families.

We take your privacy seriously, especially when it comes to youth. This policy explains what information we collect, how we use it, and your rights.

Simple version: We collect only what we need to run MILACON programs, we never sell your data, and you can opt out anytime.

1. INFORMATION WE COLLECT
A. Information You Provide
When you register as a MILACON Founding Inductee or participate in our programs, we collect:

• Personal Information:

• Name (first and last)

• Email address

• Age range

• Zip code (for regional event planning)

 

Military Connection Information:

• Type of military connection (active-duty family, veteran family, etc.)

• Military branch (optional)

Interest Information:

• Innovation domains you're interested in (robotics, coding, gaming, etc.)

• How you heard about MILACON

 

For Minors Under 18:

Parent/guardian name and email (for consent and communication)
 

B. Information Collected Automatically

When you visit our website or use our services:

• Browser type and device information

• IP address and location data (city/state level only)

• Pages visited and time spent

• Referral source (how you found us)

2. HOW WE USE YOUR INFORMATION
We use your information to:

• Communicate with you about MILACON events, programs, and updates

•  Personalize your experience based on your interests and location

• Process registrations for events and programs

• Send Founding Inductee benefits (digital badge, merch, priority access)

• Improve our programs through analytics and feedback

• Comply with legal obligations (child safety, nonprofit reporting)

 

For minors under 18: We communicate primarily with parents/guardians with age-appropriate content shared with youth when appropriate.

 

We DO NOT:

❌ Send spam or irrelevant marketing
 

3. CHILDREN'S PRIVACY (COPPA COMPLIANCE)
We are committed to protecting children's privacy under the Children's Online Privacy Protection Act (COPPA).

 

For Children Under 13:

• We require verifiable parent consent before collecting any personal information

• Parents can review, delete, or refuse further collection of their child's information

• We collect only the minimum information necessary for program participation

• We do not condition participation on providing more information than necessary

 

For Teens Ages 13-17:

• We require parent/guardian awareness and email for communications

• Parents receive copies of all significant communications

• Teens can participate in age-appropriate online communities with moderation

 

Parent Rights:

• Review your child's information: email privacy@mcwef.org

• Delete your child's information: email privacy@mcwef.org with "Delete Request"

• Opt out of communications: click unsubscribe in any email

• Contact us with questions: privacy@mcwef.org

4. HOW WE SHARE INFORMATION

• We Share Information With:

• Service Providers: Email platforms (Mailchimp), form providers (Typeform), payment processors (Stripe), and analytics tools (Google Analytics) that help us run MILACON programs. These partners are contractually obligated to protect your data.

• Event Partners: If you register for a MILACON event at a specific venue, we may share your name and registration details with that venue for logistics purposes.

Legal Requirements: We may disclose information if required by law, court order, or to protect safety.

We DO NOT Share:

❌ Your information with advertisers or data brokers

❌ Youth information with third parties for marketing

❌ Personal details in public directories without consent

5. DATA SECURITY

• We protect your information using:

• Encrypted connections (SSL/HTTPS)

• Secure, password-protected databases

• Limited staff access (only those who need it for program operations)

• Regular security audits

• Reputable, COPPA-compliant service providers

However: No internet transmission is 100% secure. We do our best to protect your data, but we cannot guarantee absolute security.

6. YOUR RIGHTS & CHOICES

• You Have the Right To:

• Access Your Data: Request a copy of information we have about you

• Correct Your Data: Update inaccurate information

• Delete Your Data: Request deletion (with some legal exceptions)

• Opt Out: Unsubscribe from emails anytime

• Limit Use: Request we stop using your data for certain purposes

7. DATA RETENTION

• We keep your information for as long as you're an active MILACON community member, plus:

• Active participants: Information retained while you're engaged with MILACON

• Inactive accounts: Deleted after 3 years of no activity

• Minors who age out: We update communication preferences when they turn 18

• Deletion requests: Processed within 30 days (except where legally required to retain)

8. THIRD-PARTY LINKS

• Our website and emails may contain links to:

• Social media (Instagram, TikTok, Facebook, Discord)

• Partner organizations

• Educational resources

• We are not responsible for the privacy practices of these external sites. Please review their privacy policies.

9. INTERNATIONAL USERS

• MILACON primarily serves U.S. military-connected families, but we welcome international participants (allied forces, overseas bases).

 

If you're outside the U.S.:

• Your data may be transferred to and stored in the United States

• We comply with applicable international privacy laws (GDPR where applicable)

• You have the same rights listed above

10. CHANGES TO THIS POLICY

• We may update this privacy policy to reflect:

• Changes in our practices

• New legal requirements

• Program expansions

 

When we update:

• We'll post the new policy at www.mcwef.org/milacon-privacy

• We'll update the "Last Updated" date at the top

• For significant changes, we'll email active members
